These Terms and Conditions apply to your use of awayretreats.com and to any retreat you book with Away Retreats (“Away Retreats,” “we,” “us,” or “our”). Please read them carefully. By booking a retreat or using our website, you agree to these terms.

Who these terms apply to

These terms apply to every person who books or attends a retreat, including anyone you book for. If you book for others, you confirm that you are authorized to accept these terms on their behalf and that you will share them with your group. Participants must be 18 or older unless we have agreed otherwise in writing.

Booking a retreat

Retreats are booked through our booking platform at booking.awayretreats.com, and your booking is confirmed once your deposit or full payment is received. Retreat details, including dates, itinerary, rooms, inclusions, and prices, are described on each retreat page. Your use of the booking platform is also subject to its own terms.

Payments and payment plans

A deposit reserves your spot. The deposit amount is shown on each retreat’s room options. A payment plan is available on every retreat, and the remaining balance must be paid in full 120 days before the retreat start date. If a payment is not received when due, we may treat your booking as cancelled under the cancellation policy below.

Cancellations and refunds

If you need to cancel, please let us know in writing at info@awayretreats.com. Refunds are based on the date we receive your cancellation:

  • Within 7 days of booking: your deposit is refundable.
  • More than 120 days before the retreat start date: 50% refund of the amount paid, less the deposit.
  • 90 to 119 days before the start date: 25% refund, less the deposit.
  • 60 to 89 days before the start date: 10% refund, less the deposit.
  • 59 days or fewer before the start date: no refund.

Good news: instead of a refund, we can apply any amount you have paid toward a future Away retreat.

Refunds are not given for parts of a retreat you choose to skip, late arrivals, or early departures.

Travel insurance

Travel insurance is required for every retreat. Your policy should include coverage for trip cancellation and interruption, medical emergencies, and personal belongings. We include a recommended provider in your confirmation email. Travel insurance is the best way to protect your trip if something unexpected comes up, since our refunds are limited to the schedule above.

Required forms

All participants must complete and sign the electronic forms we send at least one week before the retreat start date. These include a liability waiver and release, current health information, a media release, and any other forms we need to run the retreat safely. If a participant does not complete these forms, they will not be able to attend the retreat and are not entitled to a refund.

Retreat participation

You are voluntarily joining a group retreat that may include physical activity, outdoor activities, travel, and shared accommodations and meals. Every activity on the itinerary is optional. You are responsible for assessing your own health, fitness, and readiness to take part in each activity, and for following the instructions of your hosts and local guides.

You are responsible for arranging your own travel to and from the retreat location, unless the retreat page says otherwise, and for having a valid passport, any required visas, and any vaccinations or entry documents required by the destination.

Medical and health

You agree to tell us about any medical conditions, allergies, dietary needs, or physical limitations that could affect your participation, and you may be asked to complete a health questionnaire. Our hosts are not medical professionals, and medical care in some destinations may differ from what you are used to at home. Away Retreats is not liable for any illness, injury, or medical emergency that occurs during a retreat.

Assumption of risk and release of liability

Travel and retreat activities carry inherent risks, including risks from weather, terrain, water, wildlife, transportation, food, and the acts of other people. By booking, you accept these risks and take responsibility for your own safety and belongings.

To the fullest extent allowed by law, Away Retreats, its owners, team, hosts, and partners are not liable for any injury, illness, loss, damage, accident, delay, or expense that occurs during or in connection with your retreat. Many services on a retreat, such as lodging, transportation, and activities, are provided by independent local businesses, and we are not responsible for their acts or omissions. Where our liability cannot be excluded, it is limited to the amount you paid us for the retreat.

Changes to a retreat

We plan every retreat carefully, but sometimes we need to make changes. We may adjust the itinerary, activities, accommodations, or hosts because of weather, safety, availability, local conditions, or other reasons, and we will substitute something of similar value where we can.

If we need to cancel a retreat, for example because of low enrollment, safety concerns, or events outside our control, we will let you know as soon as possible and offer you a credit toward a future retreat or a refund of the amounts you have paid to Away Retreats. We are not responsible for other costs you have incurred, such as flights, visas, or travel insurance, which is another reason we require travel insurance.

We are not responsible for delays or cancellations caused by events outside our reasonable control, such as natural disasters, severe weather, illness outbreaks, government actions, travel restrictions, strikes, or civil unrest.

Code of conduct

We are committed to a supportive, respectful, and inclusive retreat for everyone. We may remove any participant whose behavior is disruptive, unsafe, or harmful to the group, without a refund. A participant who is removed is responsible for the cost of any additional transportation, meals, lodging, and staff time needed for them to leave the retreat safely.

Photos and media

We and our hosts may take photos and video during retreats and use them on our website, social media, and marketing. Our media release, sent with your pre-retreat forms, explains how and lets you tell us if you prefer not to be featured. If you share your own photos, stories, or reviews with us, you give us permission to use them to share the Away Retreats experience, with credit where appropriate.

Intellectual property

The content on our website and the materials shared during our retreats, including text, photos, designs, and guides, belong to Away Retreats or its partners. They are for your personal use and may not be copied, redistributed, or resold without our written permission.

Using our website

We work to keep the information on our website accurate and up to date, including dates, prices, and availability, but errors can happen and details may change. If we find an error in the price or details of a retreat you have booked, we will contact you before making any change. Our website is provided “as is,” and we are not responsible for the content of other websites we link to. Please do not misuse our website, for example by trying to disrupt it or access it without permission. Our Privacy Policy explains how we handle your personal information.

Governing law

These terms are governed by the laws of the State of Colorado, without regard to its conflict of law rules. Any dispute will be handled in the state or federal courts located in Colorado, unless the law of your home country requires otherwise. If any part of these terms is found to be unenforceable, the rest will remain in effect.

Changes to these terms

We may update these terms from time to time. The version posted on this page when you book applies to your booking.
